Privacy Policy

This policy explains how RAND Meridian, LLC ("we", "us") collects and uses information in EPSops, the event production portal at epsops.com.

Information We Collect

• Account details: your name, email address, mobile number, organization and role on an event.
• Event details you or your event team enter: sessions, rooms, schedules, presenter details, files and production requests.
• Expense claims: payee details, amounts and receipts you upload.
• Payments: when you pay through EPSops, card details go directly to our payment processor. We do not store full card numbers.
• Basic technical data such as sign-in times and browser type, used to keep the portal secure.

How We Use It

• To run the events you are part of and let your event team contact you about them.
• To send emails and, if you opt in, text messages about your events (see Text Messages).
• To process expense claims and payments.
• To keep EPSops secure and working.

We do not sell your personal information, and we do not use it for advertising.

Text Messages and Your Mobile Number

We only text you if you opted in. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service and message delivery, is permitted. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Reply STOP to any text to opt out.

Who Can See Your Information

People on your event team see information for the events they are assigned to, based on the access they are given. We share information with service providers that host and run EPSops (hosting, database, email, text message delivery and payment processing) only so they can provide those services. We may disclose information when required by law.

How Long We Keep It

We keep event records for as long as the organizing team needs them for the event and its accounting. Deleted files stay in a short-term trash bin before they are removed for good.

Your Choices

You can ask to see, correct or delete your information, or stop emails or texts, by writing to admin@epsops.com. Some records, such as approved expense claims, may need to be kept for accounting.

Security

EPSops uses encrypted connections, password protected accounts and role-based access to protect your information.
